The Family Online Safety Institute seeks a full-time events coordinator to plan and oversee conferences and special events. We do three large conferences per year, several of which are based internationally, and one large, local Annual conference. Smaller events are ongoing throughout the year. This person would coordinate logistics, raise and track funds, and work occasionally with co-host organizations or outside events teams. An ideal candidate would be an enthusiastic, detail-oriented individual who will work well in a small-team environment and report to the Manager of Legal and Policy.
Responsibilities
- Research and scout for venues, collect appropriate information about rental requirements, and give a comprehensive report on potential locations.
- Work closely with facility staff to consider logistics, technical requirements and A/V or special needs for all events.
- Help plan team conference meetings and keep track of updates.
- Assist with marketing and overseeing of collateral production.
- Scheduling, confirming, ordering catering, seating, equipment and all other aspects of reservations and set-ups.
- Help to secure speakers and exhibitors and serve as main point of contact.
- Keep diligent and detailed records of all contracts, agreements or financial proposals that take place.
- Be prepared to assist the last minute needs of speakers and/or high-level guests.
- Oversee temporary event staff.
Qualifications
- Bachelor’s Degree in marketing, event planning, public relations or other related field.
- 1-3 years of experience in event/meeting planning
- Experience participating in team projects with set deadlines
- The ability to work full-time, with flexibility for longer hours close to and during events
- Ability to travel internationally.
